My client is a dynamic and innovative company in the media and publishing industry, dedicated to delivering high-quality content to consumers. We are seeking an experienced and reliable Office Manager to join our team and ensure the smooth day-to-day operations of our bustling office. The successful candidate will already be at a similar media business and have an understanding of the media industry.
As an Office Manager, you will play a pivotal role in maintaining the efficiency and functionality of our office environment. You will be responsible for a wide range of administrative and managerial tasks, ensuring the seamless operation of our workspace. This position requires a candidate who is highly organised, detail-oriented, efficient and huge levels of discretion and is capable of managing diverse responsibilities.
Oversee the day-to-day office operations, including managing office supplies, equipment, and deliveries and ensuring a clean, organised workspace.
Develop and implement office policies and procedures to optimize efficiency and maintain a productive work environment.
Provide executive-level administrative support to senior management, including scheduling meetings, managing calendars, and handling correspondence.
Prepare and proofread documents, reports, and presentations as needed.
Manage relationships with building management, vendors, and contractors to ensure the office space is well-maintained and secure.
Oversee workspace configuration, including office layout and seating arrangements.
Assist in onboarding new employees, including setting up their workstations, ordering equipment, and conducting office orientation.
Collaborate with department heads to coordinate team events, meetings, and activities.
Monitor and manage office-related budgets, tracking expenses, and making cost-effective recommendations.
Negotiate contracts and agreements with office service providers to ensure cost efficiency.
Health and Safety Compliance:
Ensure compliance with health and safety regulations, including emergency preparedness, first aid, and workplace safety guidelines.
Implement protocols and safety measures as necessary.
Technology and IT Support:
Liaise with the IT department to troubleshoot and resolve office technology issues.
Maintain an inventory of office equipment, ensuring that all technology is functioning properly.
Maintain and update employee records, office documents, and inventory records.
Handle confidential information with discretion and integrity.
Proven experience as an Office Manager or in a similar administrative role.
Strong organizational and multitasking skills with excellent attention to detail.
Proficiency in office software and applications, including Microsoft Office Suite.
Excellent communication and interpersonal skills.
Leadership abilities and a proactive problem-solving approach.
Knowledge of health and safety regulations is a plus.
